ANL GDPR Data Protection Policy

1. Personal Data

Personal data is data we hold by which (possibly in conjunction with other available information) a living individual can be identified.

The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”).

2. The Data Controller

The directors of Ascend Next Level CIC are the data controller. This means it decides how your personal data is processed and for what purposes. You can contact Ascend Next Level CIC via the Ascend Next Level CIC GDPR officer whose contact details are at the end of this document.

3. The Types of Personal Data we collect and use

The following types of data may be collected, but only where relevant to the purpose for which the data was collected.

  • Name, address and contact details
  • Date of birth
  • Records of your giving to Ascend Next Level CIC if required for Gift Aid claims
  • Names of family members

4. The Legal Basis for Using your Personal Data

Contract

Some Personal Data is held, without requiring consent, because of a contractual arrangement:

  • To manage contracts with employees and volunteers
  • Contracts with people engaged to perform occasional services

Some Personal Data is held to comply with legal requirements:

  • Director/officer records
  • Financial Gift Aid records
  • Parental consent and emergency contact details
  • Safeguarding records
  • GDPR consent or request records

Legitimate Interest

Some Personal Data is held for legitimate interest:

  • Informing registered users of events or changes
  • Publishing rota duties
  • Enabling participation in groups or committees

Some uses require explicit consent:

  • Informing about external events
  • Publishing names in publicity or news

5. Sharing your Personal Data

Your personal data will be treated as strictly confidential and only shared where necessary to deliver services or meet legal obligations, or with your consent.

6. Securing your Personal Data

We comply with GDPR by:

  • Keeping data up to date
  • Storing and destroying it securely

  • Protecting against loss, misuse or unauthorised access
  • Using appropriate technical safeguards

7. Retention of your Personal Data

Gift Aid records are kept for up to 6 years after the relevant calendar year. Other data is retained only while necessary for its purpose.

You have the right to:

  • Access your data
  • Correct your data
  • Withdraw consent or restrict processing
  • Request deletion where appropriate
  • Lodge a complaint with the ICO

9. Further Processing

If we intend to use your data for a new purpose, we will provide notice and seek consent where required before processing.
